This policy explains what personal data codexlava.co.uk collects, what happens to it and what you can do about it. It covers this website only — work carried out under a signed contract is governed by that contract.

Who is responsible

CODEXLAVA LTD is the data controller. We are registered in England and Wales, company number 16654084, at 182-184 High Street North, East Ham, London E6 2JA.

What we collect, and when

Only what you type into the contact form. There is no account to create, no newsletter to join and no profile built about you. The form asks for:

  • your name
  • your email address
  • your phone number — optional, and the form works without it
  • a subject and your message

Our web server also records ordinary request logs, which include IP addresses, in the normal course of serving pages.

What we do with it

We use it to answer your enquiry. Submitting the form sends two emails: an acknowledgement to you, and a notification to us. Nothing else is done with it — it is not sold, not shared for marketing and not added to a mailing list.

It is not stored in a database. This website has no database. Your message exists as email in our mailbox. If sending the email fails, the details you submitted are written to our server's log instead, so that we can still reply; that log is cleared whenever the site is redeployed.

Lawful basis

Our legitimate interest in responding to someone who has asked us to get in touch, together with the consent you give by ticking the box on the form. You can withdraw that consent at any time by emailing us, and we will delete the correspondence.

Who else sees it

These are our processors. We have no others.

  • Mailtrap — delivers the two emails the form sends.
  • Google — Google Tag Manager and Google Analytics 4, for aggregate statistics about how the site is used. If you book a call, that happens on Google Calendar.
  • Tidio — the live chat widget, if you use it.
  • Our hosting provider, which stores the server logs described above.

How long we keep it

Enquiry emails are kept for as long as we need them to deal with your enquiry and any work that follows from it. Ask us to delete your correspondence and we will.

Cookies

This site sets three kinds of cookie.

  • A session cookie, set by the website itself. It holds the security token that stops the contact form being submitted by a third-party site. It is strictly necessary, contains no personal data, and is deleted when you close your browser.
  • Analytics cookies, from Google Tag Manager and Google Analytics 4, which tell us how many people visit and which pages they read.
  • Live chat cookies, from Tidio, which remember a chat if you start one.

The analytics and chat scripts do not load when the page does. They wait until you interact with the page — a scroll, a tap or a key — or about six seconds, whichever comes first. You can block or delete any of these cookies in your browser settings; the site works without them.

Your rights

Under UK GDPR you can ask us to:

  • tell you what personal data of yours we hold, and give you a copy
  • correct anything that is wrong
  • delete it
  • stop or limit what we do with it
  • send it to you or someone else in a portable format

Email enquiries@codexlava.co.uk and we will respond within one month, which is the statutory deadline. There is no charge.

Complaints

If you are unhappy with how we have handled your data, tell us first and we will try to put it right. You also have the right to complain to the Information Commissioner's Office at any time — ico.org.uk/make-a-complaint, or 0303 123 1113.

Changes to this policy

If we change it, we will change the date at the top. This version is dated 1 October 2026.
